Import your roster

Bring your members in from a spreadsheet, or straight from USA Fencing.

If your members are in a spreadsheet, another system or a sign-up form, you can add them all at once with a CSV file instead of one by one.

1. Prepare the spreadsheet

One row per member. Column names don’t need to match exactly; capitals, spaces and punctuation are ignored.

  • Name (required): one Name column, or First name + Last name. Also recognized: Full name, Member name, Athlete, Student.
  • Email (optional): also Email address, Parent email, Contact email.
  • Phone (optional): also Phone number, Mobile, Cell.

If your club has member fields, name a column the same as a field (e.g. “T-shirt size”) and it’s filled in too. Any other columns are ignored, so you don’t need to delete them.

Siblings can share a parent’s email. Each still becomes their own member.

Then save it as CSV: in Excel, FileSave AsCSV UTF-8. In Google Sheets, FileDownloadComma-separated values (.csv).

2. Upload it

  1. Open the upload

Open Club Settings (Settings at the bottom of the sidebar), go to Setup and click Import on the Roster row. Once the row is done its button reads Edit, which opens the same upload.

  2. Choose the file

Click Choose a CSV file in the Upload roster window and pick your file.

  3. Check the preview

You’ll see how many members will be added, how many are already on your roster and how many rows were skipped, with a preview of the first 50 and which columns matched your member fields. Click Show skipped rows to see why each one was skipped, with its row number. If something looks wrong, fix the spreadsheet and use Choose another file.

  4. Add them

Click Add 42 members (with your count). Keep the window open until it finishes; it adds a few members at a time and shows progress.

What gets skipped

  • Duplicates: someone already on your roster (or earlier in the file) with the same name and email. Re-uploading the same file is safe.
  • Missing name: a row with no name.
  • Invalid email: an address that isn’t a valid email. Fix it or leave the cell empty.

If a few members fail to save (a network hiccup, say), the summary lists them with a Retry 2 failed button (with your count) for just those.

Import from USA Fencing

If your club uses a federation (USA Fencing today), you can skip the spreadsheet and pull members straight from its member directory. It also links members who are already on your roster, so their membership type, expiry and ratings show in the USA Fencing section of their Details.

  1. Open it

Open the upload as above and click Import from USA Fencing.

  2. Pick your club

If your club was created from the USA Fencing club list it’s already filled in. Otherwise search by club name. Members whose primary club is somewhere else won’t be listed under yours: paste their member numbers in Member numbers to include them. Then click Find members.

  3. Check the preview

Each person is matched to your roster by member number, then by name. New rows will be added, Update rows link or refresh someone already on your roster, Up to date rows have nothing to change, and Check rows look like someone you already have (for example two members with the same name). Untick anything you don’t want; tick a Check row to add it as a new member anyway.

  4. Import

Click Import 12 members (with your count).

Running it again is safe: matched members are updated, not duplicated, and names, emails and other details you entered are never overwritten. The directory doesn’t include emails or birthdays, so add those yourself or with a CSV. It only lists current members and is refreshed periodically, so someone who joined or renewed in the last few days may not appear yet.
